Role: Team Assistant 

Location: Colt House, London

 

The role and responsibilities:

·         Contacting and booking meetings with Suppliers.

·         Setting up and engaging in stakeholder group meetings.

·         Data collection and validation.

·         Space planning.

·         Assisting with all aspects of move planning.

·         General project coordination.

·         Team admin duties which include:

·         Managing and maintaining diaries and calendars, ensuring all commitments are coordinated across the team.

·         Expense submissions for CRES team.

·         Booking travel for CRES team.

·         CRES and internal Colt communication.

·         Intranet updates for CRES.

·         Other facilities projects.

·         Understand and assimilate financial information in relation to the projects managed by CRES.

·         Preparing presentations for meetings.

·         Update and maintain Real Estate database.

·         Provide support to the UK FM on Housekeeping & Reception services audits.

 

What you will need to succeed:

 

·         Good organisation skills.

·         Effective communicator with a positive attitude.

·         Trustworthy and maintain confidentiality.

·         Can work under pressure.

·         Takes initiatives.

·         Able to effectively communicate with all levels of stakeholder.

·         Ability to understand basic financial information.

·         Previous facilities experience advantageous.

·         A natural self-starter requiring limited support from colleagues with an ability to prioritise important and urgent tasks.

·         Common sense approach to problems.
