About the Role:

 

Colt is looking for a Facilities & Real Estate Assistant to be based on-site in its Shoreditch HQ. As a key member of the global Corporate Real Estate Services team, you will be providing administrative support across all areas of the team whilst coordinating various projects and day-to-day tasks.

 

The role represents a fantastic opportunity for someone who is passionate about building a career within Facilities, Real Estate or Hospitality. Key Accountabilities:

 

  • Completes a broad variety of administrative tasks for the Facilities and Real Estate team including: managing an extremely active diary of appointments; completing expense reports; producing reports and business presentations to a high standard using appropriate templates
  • Arranging complex and detailed travel plans, itineraries, agendas and compiling documents for meetings
  • Communicates directly, and on behalf of the team at all levels internally and externally on matters related to Facilities and Real Estate
  • Managing and coordinating various projects related to Facilities and Real Estate. Contacting and interacting with suppliers and stakeholders across the globe
  • Prioritises conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Maintains discretion and confidentiality at all times
  • Supporting with research, data collection and validation, space planning and all aspects of move planning
  • Understand and assimilate financial information in relation to the projects managed by the Facilities team, including updating internal databases
  • Providing support to the UK FM on Housekeeping and Reception services audits

 

 

What you will need to succeed:

 

  • Experience and passion for working within Facilities and Real Estate management
  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders across multiple geographies
  • Expert levels of written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with a can-do attitude
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Proficient in Microsoft Office (Outlook, Word, Excel and Power Point) and numerical capabilities
