Personal Assistant to Finance VP's

Role Purpose

Responsible for providing first class executive support to two Finance VP’s. This role requires excellent organisational skills along with a pro-active and professional approach. Establishing and maintaining stakeholder relationships across the business and global Finance team is essential for this role alongside strong communication skills, attention to detail, diplomacy and sound judgement. 


Key Accountabilities

  • Solely responsible for the schedules of Finance VP’s, maximising the use of executives’ time and exercising discretion at all times.
  • Mailbox management for executives, action/delegation as required, following up on requests and providing supplementary information.
  • Ensure executives are appropriately prepared with all relevant information before meetings: booking meeting rooms, sourcing reports and briefings, proactively considering likely agenda topics of future meetings etc.
  • Attend key meetings, prepare agendas, take minutes, circulate action lists, identify follow-up actions and owners.
  • Arranging travel and all logistical arrangements to include visa’s.
  • Authorisation of approvals for travel, expenses and contractor timesheet on behalf of VPs, ensuring compliance with policy and budget.
  • Providing assistance and support to Finance Team including raising PO’s, PRF’s, induction of new starters and ad hoc requests (such as stationary orders).
  • Initiating and building upon strong internal and external relationships.
  • Assistance with Finance Projects aligned to the Global Finance Agenda.
  • Approving IREC’s, annual leave and keeping track of team holiday.
  • Checking and approving entries in SAP ERP and Ariba.


Skills & Experience

  • Provides a bridge for smooth communication between the VP’s and internal departments.
  • Works closely and effectively with stakeholders to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Prioritises conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Maintains discretion and confidentiality at all times.
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.



  • Previous experience of working as a PA or team assistant for senior stakeholder required.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
